POSITION: Assistant Property Manager

SALARY: £ Competitive Salary – available on request

The company is now actively seeking an experienced and motivated Assistant Property Manager

JOB PURPOSE:

The purpose of the role is to support the daily operations of property management. Assisting the property team by performing administrative tasks and being responsible for co-ordination of maintenance works whilst providing an excellent customer service

JOB DESCRIPTION:

Updating electronic filing on the Data Management and Accounting System – SharePoint Control

Updating and maintaining Asset registers

Working alongside the Team Assistant/ Front of House and provide cover during absence

Assisting with the co-ordination of day-to-day maintenance and remedial work including arranging access for maintenance works

Emailing Tenants to notify of maintenance works and PPM visits

Assisting the property team with administrative duties

Management of the company’s store area for residential properties, creating an inventory of items in store and continuous monitoring

Logging all calls or emails from tenants on the Helpdesk and recording all issues, repairs and testing and tracking through completion

Maintaining adequate records and ensuring all data bases, filing, documentation etc. is fully up to date and readily accessible

Obtaining meter readings and contacting utility companies at the start and end of tenancies

Preparing relevant correspondence for new tenancies

Preparing welcome packs for new tenancies

Providing annual leave cover for property team

Creating a yearly PPM planner in advance, in line with main PPM Contractors planners

Organising monthly meetings with the main PPM contractor and property managers

Booking time slots for contractor’s and recording it in contractor’s diary

Assisting Facilities Manager with organising annual statutory property inspections

Informing commercial tenants of any upcoming maintenance works

Managing the approved contractors list including; checking insurances, keeping control of the amount of contractor’s on the list, providing questionnaires to new contractors

Arranging reactive and planned maintenance and access to properties, liaising with property managers

Uploading the PPM data sheets and any statutory certifications to Fixflo and Asset Register before the expiration dates

Raising Purchase orders to contractors on Qube for reactive jobs and sending them to suppliers

Requesting reactive jobs quotes from contractors

Maintaining Reactive Maintenance Time and Cost Report and supplying property managers with end of financial year totals for their budgets

Coding invoices on behalf of Maintenance team

IDEAL CANDIDATE:

Excellent skills using Excel and industry-wide software, including QUBE

Excellent Customer Service

An understanding of property management

Highly motivated

Excellent communication and presentation skills

Strong attention to detail with good writing skills

Ability to work under pressure to tight deadlines

The ability to work as part of a team

The ability to prioritise your work load
