POSITION: Facilities & Property Manager

The company is now actively seeking an experienced and motivated Project Manager

JOB DESCRIPTION:

Report to the Head of Commercial Asset Management

The purpose of the role is to be responsible for ensuring buildings and their services meet our high standards of condition and repair as well as the needs of our customers. This includes managing all building maintenance, contractors, soft services, building presentation and service charges, as well as being responsible for compliance with all statutory legislation.

Service Charge

Responsibility for setting up service charge schedules to deliver the required service charge budgets set by the Asset Managers and issue to tenants at least 1 month before the previous service charge year end

Preparation and submission of year end service charge packs including audited and reconciled service charge accounts within 2 months of year end

Reviewing relevant sections of all leases, in particular the service charge clauses and landlords obligations to ensure we are fully compliant

Arranging annual inspections and checking tenant compliance of FRI lease obligations

Planned Preventative Maintenance and Reactive Maintenance

Managing and implementing proactive planned preventative maintenance programs looking out 15 years

Creating yearly PPM planner in line with main PPM Contractors planners

Managing all annual statutory risk assessments

Ensuring all fire-fighting equipment and alarms are regularly tested and serviced in accordance with current legislation, including regular fire evacuation drills

Inspecting all commercial properties monthly (vacant properties) and every three months (let properties)

Ensuring all vacant sites are secure to prevent unauthorised entry. Ensure all access control systems are maintained if applicable

Providing access to third parties wherever necessary

Ensuring O&M’s and H&S files are up to date and accurate

Ensuring Statutory Health and Safety compliance on all assets and reporting to H&S Steering Group accordingly

Ensuring any landlord intruder alarms are regularly tested and serviced

Keeping up to date with all relevant statutory legislation and maintaining statutory compliance and certification at all times

Organising and arranging gas inspections and boiler services. Ensuring that gas safety certificates are renewed within the relevant periods

Organising electrical safety inspections, fixed wire tests and PAT testing as required in accordance with legislation

Keeping a log of all testing, servicing and repairs using Fixflo

Maintaining and updating the Property Management KPI’s and reporting monthly

Utilities

Managing all landlord utility supplies and arranging regular meter readings

Customer Service

Managing tenants and the building to deliver customer satisfaction and tenant retention

Ensuring all tenants are supplied with a Tenants Handbook with all relevant information and update as and when necessary

Contractor Management

Maintaining at least 3 key consultants and contractors for each main element – lift, M&E, electrical, plumbing, gas, small works

Tendering works as required and ensuring quality of service at all times

Managing internal PAYE contractors including cleaning team

Managing external maintenance contractors including lifts, boilers, plant, out of hours etc.

Ensuring all staff employed by the Company are adequately trained and qualified for the roles they are required to fulfil

ESG

Working with the ESG Steering Group to implement the targets for the business

Identifying and improving environmental sustainability inefficiencies within the portfolio
